Sharing Documents Securely
If you need to share secure files outside of School with someone who does not have a School login, you must set an expiry date as well as a password. Ideally you should send the link to the file or folder via email and then send the password via alternative means such as phone call or text.
Sharing from OneDrive or Teams
Step 1 - Open up the standard sharing prompt for OneDrive or Teams. The quickest way is to right click on any folder or file and click on Share. If you are unsure how to get to this prompt see the full guide on Sharing Documents.
Step 2 - On the sharing prompt click "people in Badminton School with the link can edit"
Step 3 - Click on Anyone with the link
Step 4 - Decide if you want people to be able to edit the documents
Step 5 - Set an expiry date, note that Office 365 has a limit of 30 days maximum.
Step 6 - Set a password - Important so that others cannot forward on the link.
Step 7 - Click Apply
Step 8 - You can now enter in the email addresses of those you want to share the file with and add a custom message. Click Send when done.
Alternatively if you want to you can click on the Copy Link or Outlook button to use the link in a normal email.
Step 9 - Share the password with the recipients via a different method other than email, ideally over the phone or via text message, whats app etc...
DO NOT put the password in the email.
