Step 2 - Accessing Email

Using official email channels is key to our GDPR and data protection compliance. As soon as data leaves our organisation we have no control over where it can be shared or accessed as well as zero visibility of other communications relating to the School in official capacity as a governor.

When a governor or staff member leaves the School, we need to be sure that they no longer have access to confidential information or data that would be covered under GDPR. Additionally we need to consider that any communications from governors relating to School business are subject to Subject Access Requests and as such all communications need to be searchable.

For these reasons automatic email forwarding to a personal email address is not allowed for any staff or governors.

All correspondence for Badminton will be sent to your official @badmintonschool.co.uk email address. Although in some circumstances we can use a personal email for meeting invites, it is highly recommended that you find a workable way of being able to regularly check your official account. We understand that this can be difficult, especially if you have multiple work and personal email accounts already but there are many ways of accessing your School email, each with various benefits and downsides to make this easier.

Recommended - Using your mobile Device or Phone

This method allows you to view your emails on your phone or other mobile device, you will get notifications of new emails and it can support multiple work and personal email accounts all at the same time. This is our recommended method for all governors.

Optional - Using the full version of Outlook

For those of you who are power users or prefer a larger screen, you can use the full version of Outlook to view your emails if you already have an Office 365 license.

If you do not already use Outlook:

Step 1 - Open the outlook client on your computer.  

Step 2 - If you have not used outlook it will ask you for your email address and automatically configure the settings for you.  You will be prompted for your School password as part of this process.

If you already use outlook for another account

Step 1 - Open Outlook and click on File in the top left

Step 2 - Click on Add Account at the top of the page.

Step 3 - Follow the instructions to add your School account, it should automatically configure once you enter your email address. 

Last Resort - Use a Web Browser

Step 1 - Navigate to https://outlook.office365.com/ using any modern web browser such as Chrome, Safari, Edge or Firefox

Step 2 - Login with your School email address and password

The main downside of this method is that you will not get alerted for new emails.  In addition if you already use Office 365 for a work or personal account it can be annoying having to logout and back in again.
