Guardian Contacts
Overseas boarders must have a UK-based Guardian.
Once a pupil's Guardian has been confirmed/verified, their contact should be set with close attention to the Guardianship form (completed by the pupil's parents).
Shared Guardians
Check the existing Guardian/Pupil list to see whether the Guardian is already assigned to other pupils. If yes, you need to link the new pupil with the Guardian via one of the existing pupils (see Linked Contacts).
If the other pupil attached to the Guardian has different correspondence/reports permissions, you may need to create a new contact. Check the list in case there is already more than one option for the same Guardian (for example, Pippa's Mr Lloyd has both Guardian and Guardian No Firefly pupils, so has two groups of linked pupils).
N.B. - Deleting a linked contact from a pupil will delete it from all. If contact information changes, you must remove the pupil via the Linked Pupils tab.
- Contact Type and Mail Options
Check whether the parent has given permission for the Guardian to receive correspondence and/or reports. This determines their contact type (Guardian/Guardian No Firefly) and mailing options.
If the parent does not wish the Guardian to receive copies of school reports, their contact type should be Guardian No Firefly, otherwise they are Guardian.
Tick the relevant boxes for them to receive correspondence and reports (where appropriate).
Address
If the Guardian is with an agency, please ensure the first line of the address is the agency name.
- Profession
This should be Guardian (Agency) or Guardian (Personal). Personal guardians are family friends and relatives. You can add Uncle, Family Friend etc to the Fax Number box
- SOS
Check who the parent would like to be contacted in an emergency and in which order. If the parent wishes the Guardian to be contacted, enter their name in to the SOS contacts box.
