Summer Rollover
During the Summer a lot of work is done on Teams to make sure it is ready for you to hit the ground running in September. Use this page to guide you through the takes you may want to perform to get all your files ready.
Teams created automatically for your classes are kept for 2 years by default. At the end of the two years they will be automatically archived for you.
Teams manually created by request will not be automatically archived and it is up to the staff members running them to archive when no longer needed.
Step 1 - Clean up old Teams - Class teams that are two years old will be archived over the Summer. Make sure you check them for any important files or Notebooks and copy them to a new location. Once archived you can still access their files but it requires speaking to Network Services for help. You can recognise the age of a team by the year at the start, 2020 means it was created for the 2020 academic year for example.
Step 2 - Prepare to activate your new Teams - Approximately two weeks before the start of term, you should see all your new class teams created automatically. Now is the time to plan what files or notebook pages you may want to move from last year to the new team. For example a year 10 class into year 11 may want to keep the same work.
Step 3 - Last years Teams - Are still there but no longer automated, you have a few options here:
- Archive the ones you don't need anymore
- Rename them to 2024/25 if you want to use last years again, e.g. year 10 into 11, 12 into 13
- Move all the files into the new Team
Remember that your pupils cannot see the new teams until you activate them! Make sure you do not activate your class teams before the start of term else your pupils will see which groups/classes they are in early!
Tips for making the rollover easier
- Try to avoid storing lesson resources directly in class teams. Create and organise them in your departmental Teams and make copies when needed. That way you don't need to copy all your team files over before you lose them.
