Meeting Rooms & Mini-buses
Meeting Rooms are managed and approved by Kate P and Carrie F.
Mini-buses are managed and approved by School Office.
Meeting Rooms and Mini-buses are now booked via Microsoft Outlook.
This guide is for the web version and the very latest desktop versions. If your Outlook does look like that, please use the video guide on the sub-page for older versions.
Availability queries should be directed to the resource managers above, technical issues to the IT Helpdesk.
How To Book
1. Open Outlook and go into your Calendar.
2. Click on the "New Appointment" or "New Event" button in the top left.
3. When the popup appears, first enter a description, including staff initials, and set the start and end dates and times. If a parent meeting, please include the parents' name.
Avoid using the "All Day" toggle, as it changes the availability to "Free" which will not block out the calendar for other bookings. If you do, go to the top bar where it will say "Free" instead of the "Busy" shown below, you must change it back to "Busy" to be effective.
4. Secondly, add either the Room or Mini-buses as Required attendees (don't add rooms to rooms, it will do that for you). See below:
Tips
You can add multiple rooms or multipipe mini-buses to a single booking, just by adding them all in as required attendees and scheduling assistant can help you find a time they're all free.
Also remember you can invite other staff as well, then they have the details of the booking in their calendars too.
Try not to toggle a Teams meeting unless you need it, this updates the location to Teams and the approval requests don't then tell Kate and Carrie which room is being booked.
