Scheduling a Meeting

Scheduling a meeting is difficult at the best of times.  Use this guide to show you the best way of finding a spare slot where everyone you need is free by using the Outlook Scheduling View

Setup your new meeting

Step 1 - In the full version of outlook, click on New Items and then Meeting

Step 2 - Give your meeting a suitable title that all attendees will understand.

Step 3 -  In the required field, add everyone you want to attend the meeting.  You can also add optional attendee's if you wish.

Step 4 - Add a location if applicable

Step 5 - Click on Teams Meeting if you want to give people the option of joining the meeting online.

Find a suitable time

Step 1 - Click on Scheduling Assistant in the top menu bar.  This will show you all attendee's availability and suggest a free time.  You can move the blue bar back and forward to adjust the start and end time

Step 2 - If there are no free times for everyone you may need to use the scroll bar at the bottom to go further into the future to find a suitable slot.

Where possible please respect other peoples time, avoid booking meetings back to back, try to keep lunch times and break free where possible.

Step 3 - Review the start time and end times at the top to make sure you are happy.

Step 4 - Click Send when ready
