Scheduling Assistant
The Scheduling Assistant is a feature in Microsoft Outlook that helps users schedule and organize meetings more efficiently. It is part of the broader Outlook Calendar functionality. The Scheduling Assistant is designed to simplify the process of finding a suitable time for a meeting by providing a visual representation of the availability of meeting attendees.
1. Open Outlook:
- Launch Outlook 365 and navigate to the Calendar tab.
2. Create a New Meeting:
- Click on the "New Meeting" button or select "New Appointment" from the toolbar.
3. Add Attendees:
- In the meeting window, click on the "Scheduling Assistant" tab.
- Add attendees by clicking on the "Add Attendees" button and selecting from your address book.
4. View Attendee Availability:
- The Scheduling Assistant will display a calendar grid showing the availability of all attendees.
- Green bars indicate when attendees are available, and red bars indicate busy times.
5. Choose a Meeting Time:
- Hover over the grid to view details about the availability of each attendee.
- Find a suitable time slot where all or most attendees are available.
6. Adjust Meeting Details:
- After selecting a time, return to the meeting window.
- Adjust other meeting details such as subject, location, and agenda.
7. Send the Invitation:
- Click on "Send" to send the meeting invitation to all attendees.
